AI Phone Answering for Law Firms: Intake, Scheduling, and What It Should Never Do
TL;DR: An AI phone agent is a good fit for the first two minutes of a law firm call: answering after hours, capturing the caller's name, matter type and urgency, checking basic eligibility, and booking a consultation. It is a poor fit for legal advice, conflict checks that need judgment, or anything a distressed caller needs a human for. Set it up as a disciplined intake assistant that hands off fast, and it stops the after-hours leak without putting the firm at risk.
Why law firms lose calls in the first place
Most small firms are staffed for office hours, but potential clients call when the problem happens: after an accident, after a letter arrives, on the weekend after an arrest. If the call goes to voicemail, a large share of those callers dial the next firm in the search results. The firm never learns the call existed. This is the specific gap AI phone answering closes: it turns an unanswered ring into a captured, qualified lead with a booked consultation.
What an AI intake agent can do well
Answer every call, every hour. Nights, weekends, holidays, and during the 11 a.m. hearing when nobody is at the desk.
Collect structured intake. Name, best callback number, email, the type of matter (family, personal injury, criminal, immigration, estate), when the incident happened, the county or jurisdiction, and how urgent it is.
Apply simple screening rules. "We do not handle bankruptcy" or "we only take cases in these counties" can be stated politely and consistently, so attorneys stop spending time on calls they will decline.
Book the consultation. Directly into the attorney's or paralegal's calendar with the right duration and buffer, then send confirmation by text and email.
Follow up. Send a reminder before the consultation and a "what to bring" list, and re-engage callers who did not book.
Log everything. Every call transcript and captured field goes into the CRM, so the firm can see who called, when, and about what.
What it should never do
This is the part that matters more than the feature list.
No legal advice. The agent should be scripted to say it cannot give legal advice and to route the question to the attorney. Every state bar treats the unauthorized practice of law seriously, and an AI answering "yes, you have a case" is a liability.
No promises about outcomes or fees. It can state that consultations are free or that the firm works on contingency for certain matters, if that is the firm's policy, but it must not quote or negotiate.
No judgment-based conflict checks. It can capture the names of adverse parties so a human can run the conflict check. It should not tell a caller they are cleared.
No stalling a person in crisis. If a caller says they are in danger or in custody, the agent should hand off to a live line or give the emergency instructions the firm defines, immediately.
No recording without notice. Several US states require all-party consent to record calls. The agent's greeting should disclose recording if calls are recorded.
Confidentiality and data handling
Intake information is sensitive even before an attorney-client relationship exists. Before turning on any AI agent, a firm should confirm three things with the vendor: where call recordings and transcripts are stored, who at the vendor can access them, and how long they are retained. Ask for these answers in writing. At Boostix AI Consulting we build the agent on a platform where the firm owns its CRM data, and we configure retention and access to match the firm's own policy rather than a default.
A realistic call flow for a small firm
Greeting and disclosure. "Thank you for calling [Firm]. This call may be recorded. I am the firm's virtual assistant and can take your details and schedule a consultation."
Triage. "Briefly, what kind of legal matter is this about?" The agent maps the answer to a practice area or to "not something we handle."
Urgency check. "Is anyone in immediate danger, or is there a court date or deadline in the next few days?" Yes routes to a human path.
Intake fields. Name, phone, email, jurisdiction, other parties involved, incident date.
Booking. Offers the next available consultation slots and confirms one.
Close. Confirms by text, tells the caller what to have ready, and ends. Transcript lands in the CRM with the matter tagged.
How it fits with the rest of the firm's systems
The agent is only as useful as what it is connected to. In a Boostix build, the AI voice bot sits on top of a CRM with a visual pipeline (New lead, Consultation booked, Consultation held, Retained, Declined), a shared calendar, automated reminders, and review requests after a matter closes. That means the firm sees intake as a pipeline, not as a voicemail inbox. Setup takes 14 to 30 days and the firm supplies the practice areas, screening rules and scripts it wants used.
Frequently asked questions
Can an AI answer calls for a law firm ethically?
Yes, if it is limited to reception and intake tasks, discloses that it is an automated assistant, never gives legal advice, and hands off to a person for anything sensitive. The rules that apply are the same ones that apply to a non-lawyer receptionist.
Will callers hang up when they hear it is an AI?
Some will, and those callers would also have hung up on voicemail. In practice most after-hours callers want to be heard and to get a slot on the calendar, and a natural-sounding agent that does both retains far more of them than a recording does.
Can it check for conflicts of interest?
It can collect the names needed for a conflict check and flag them for staff. The check itself, and the decision, should stay with a human.
Does it work with my existing phone number?
Yes. The number can be forwarded to the agent after hours only, when the line is busy, or all the time, depending on the firm's preference.
How much does it cost?
Boostix works on a normal monthly subscription with no setup fee and no extra costs, and the AI voice bot is included from Pack 2. See our guide to AI receptionist pricing for the full breakdown.
